Job summary
We’re looking for a Late Filing Penalties (LFP) Debt Liaison Officer to join us at Companies House!
Reporting to the Debt Collection Manager you will be responsible for the efficient day to day running of the debt collection process between Companies House and the Debt Collection Agency.
This is a key role which helps to make sure our organisation can meet and deliver its business and strategic objectives by ensuring the effectiveness of the debt collection process of the late filing of accounts penalty scheme. By analysing management information to monitor, report on and challenge the debt collector’s performance you will support a key strategic contract for Companies House. Helping to assure optimum outcomes and value for money for Companies House.
You will be expected to be one of the key conduit between Late Filing Penalty (LFP) Finance, LFP Operations and our debt collection agency. To engage regularly with both internal and external stake holders and work collaboratively across the business, with a strong emphasis on engaging in the culture groups both within finance and the organisation and refining existing processes to improve on known issues.
You will be aligned to our Cardiff office, where you will be expected to attend on a regular basis. Please see the section ‘Where will you be working?’ for more information.

Job description
As a Late Filing Penalties (LFP) Debt Liaison Officer your responsibilities will include:
- Investigate and resolve all queries as a result of the weekly reconciliation between our external Debt Collection Agent and Companies House.
- Identify any discrepancies between the debt collection agent and our finance system, E5.
- Investigate and provide feedback on the reasons why any adjustments are necessary.
- Arrange and participate in telephone conference calls with the operation managers from our debt collection agent to discuss individual cases and identify any appropriate solutions.
- Liaising with the Scottish and Northern Ireland offices, Late Filing Penalty (LFP) Operations, Finance Systems and Development and our debt collection agent to resolve all queries/discrepancies identified. This involves investigating our finance system E5 and the daily files to identify how and why there are balance discrepancies.
- The ability to identify the discrepancy and make the appropriate amendments to E5.
- Participate in weekly meetings with senior managers from our debt collection agent and Finance to discuss and resolve any ongoing issues as well as maintaining excellent working relationships with them.
- Dealing with customer queries (both internal and external) using all avenues of communication.
- To identify existing procedures that can be completed across all the Operations teams and help identify and develop system changes that will allow any improvements to be successfully implemented.
- Also, identify any procedures that have to be completed separately and define segregation of duties.
- Prepare flowcharts, desk instructions and training plan to help train members of the team on all debt collection tasks across the Finance Operations teams.
- Providing Team Leader cover for the Late Filing Penalty Finance team. Analyse data to measure business and performance requirements.
- Collate and review management information to Identify and challenge areas of poor performance by suppliers and Companies House.
- Awareness of financial constraints on Companies House and proactively manage cases passed to the debt collection agency, including the accuracy and completeness of invoicing.
- Regularly review the LFP processes to identify opportunities for process improvements between the internal debt collection process and those under the outsourced debt collection activity, thereby ensuring the effectiveness for the whole life of the debt.
Person specification
We are looking for someone with:
- Demonstrated understanding of debt recovery processes and experience managing large volumes of accounts.
- Strong numerical skills and attention to detail.
- Strong computer literacy, use of Microsoft suite/accounting systems in particular essential to have excellent Excel skills.
- Ability to prioritise work daily depending on business needs and to use own initiative.
- To be able to work as part of a team and maintain a good working relationship with all stake holders.

Where will you be working?
You will be aligned to our Cardiff office, where you will be expected to attend on a regular basis. We are currently using a hybrid approach to the way we work which provides opportunities for you to be adaptable in the way you work so that you can achieve a healthy balance between your work and home life. The degree of choice you have will depend on your role and your day-to-day work activities. Your manager will agree regular patterns of attendance with you, however you may be required to make yourself available to attend the office more frequently when required to meet business needs.

Sift Process

Interview Process
- Companies House uses a blended interview technique, allowing us to find out more about you. We use the Success Profile framework and at interview we will use Success Profiles assessing the Behaviours and experience listed in the advert and Strengths.
- There will be an activity as part of the interview – this will be a presentation. Further information will be provided to candidates selected for interview.
- A reserve list may be held for up to 12 months from which further appointments may be made for the same or similar roles.
- If after interview you are not found appointable at the advertised grade you may be offered the lower grade role if you are considered to meet the skills, experience and behaviours for the lower level.
